Group Travel Planning for Families & Sports Teams

More people traveling. Fewer details to manage.

From multigenerational family vacations to sports tournaments and team hotel blocks, I help organize the travel details, compare your options, and make planning easier for everyone involved.

Travel Better Together

A trip gets more complicated when several households have to agree on dates, budgets, room types, and how to book. A family reunion might need space for a shared dinner and rooms at different price points. A tournament weekend might need two-queen rooms near the venue, with enough flexibility for families arriving on different nights.

I’m Mike O’Sullivan, an independent travel advisor affiliated with Travelmation, LLC. I help organizers narrow their options, understand the booking terms, and give travelers a clear set of next steps.

Family & Multigenerational Group Vacations

Whether it’s a family reunion, a milestone birthday, an anniversary, or several families traveling together, we’ll start with the people going. We’ll compare sleeping arrangements, budget ranges, accessibility needs, and what the different ages in your group will enjoy. Then we can choose a place where it’s easy to spend time together and everyone has room to set their own pace.

Disney & Universal trips

Sports Teams & Tournament Travel

Your team handles the competition. I’ll help with the hotel arrangements.

If you’re a club director, coach, team manager, tournament coordinator, or the parent organizing the weekend, I can help you compare lodging and put the booking instructions in one place. I work with the details that matter to traveling hockey, figure skating, soccer, baseball, basketball, lacrosse, and other youth sports groups.

Tell me the venue locations, likely competition schedule, and how many families are traveling. I’ll help you weigh practical tradeoffs such as an easier drive to an early game, breakfast that opens in time, and room layouts that actually sleep the people booking them.

Hotel Blocks Made Easier

  • Find and compare hotels. I can research hotels near the venues, request group room blocks, and compare nightly rates, taxes and fees, parking, breakfast, and other amenities that matter to the team.
  • Work through room needs. I can help estimate rooms by night, request the right mix of beds and accessible rooms, and check whether early arrivals or later departures can fit under the group terms.
  • Review the booking rules. We’ll go through cutoff dates, deposits, cancellation terms, and any minimum pickup or attrition obligations. A courtesy block often releases unbooked rooms at the cutoff without a room-pickup charge. A contracted block may include a minimum commitment and charges if it falls short. The written terms determine the group’s obligations.
  • Give families clear instructions. Where the hotel supports it, families may be able to reserve and pay individually through a link or group code. I can help the organizer share the dates, booking method, and deadlines in one message.

If the event has a stay-to-play policy, start with the tournament’s approved lodging process. I can help you review options within those requirements.

Group Travel FAQ

How many rooms do we need for a hotel block?
Hotels set their own minimums. Some count rooms on the busiest night, while others use a different threshold. A room estimate for each night gives the hotel a better starting point than a headcount alone.
Can families book and pay individually?
Some suppliers offer a booking link, code, or reservation line for individual payments. I’ll check what the property supports and whether any separate obligations still apply to the organizer.
Do all travelers need the same arrival and departure dates?
Some arrangements allow different arrival and departure dates. Group rates may apply only on certain nights, and minimum stays or event requirements may affect what a family can book.
What is the difference between a courtesy and contracted room block?
A courtesy block generally holds rooms until a cutoff with limited or no group commitment for unbooked rooms. A contracted block may include deposits or a room-pickup commitment. Review the written terms for either arrangement and check who is responsible if plans change.
How early should a sports team request accommodations?
Start when the tournament dates and lodging rules are available. For a large event, holiday weekend, or venue with limited nearby hotels, start several months ahead if the event’s booking window allows it.
Can you help with stay-to-play tournaments?
Yes, within the event’s lodging requirements. I can help clarify the process and compare approved options where the event allows. Organizers must use the required providers, properties, or booking channels and follow any deadlines.
Can you coordinate a family group cruise or resort vacation?
Yes. I can help compare options for your dates, budget, room needs, and activities, then explain the supplier’s group booking process and payment schedule.
Can different family members choose different room categories?
Often, depending on the supplier and availability. We can compare categories at different price points and check bedding, occupancy, accessibility, and whether particular room locations can be confirmed.
Does working with a travel advisor cost extra?
There is generally no separate planning fee for most standard vacation planning. If a group request requires a separate professional fee, I’ll explain it before you decide whether to proceed. Supplier pricing, deposits, and fees depend on the arrangement.
What should I have ready before submitting an inquiry?
Share your estimated group size and rooms, travel dates and flexibility, destination or venues, and approximate budget. Include any must-haves, age ranges, accessibility needs, or tournament lodging instructions you already know.
